How to create a work order?

The Work Order (WO) represents the maintenance work to be performed and is associated with an asset, location, or route.

Create WO

To create a work order, follow these steps:

  1. Go to Work | Work Orders;
  2. The list of work orders will be displayed;
  3. Click on Create;
  4. Select the asset type;
  5. Fill in the specific asset (equipment, tool, location, or route).
    Note: if the selected asset type is a route, only routes that contain at least one asset will be available, and the employee can only select routes for which they have access to all assets, as defined in the access level;
  6. If the selected asset has the Supplier and/or Customer fields filled in, this information will be automatically filled in on the work order. However, you can change it;
  7. In the Scheduling section, the SLA Start Date field is automatically filled in when the work order first enters a status configured as SLA Start. The SLA End Date field is automatically filled in when the work order enters a status configured as SLA End. If the WO passes through the SLA End status more than once, the end date corresponds to the last time it passed through that status.
  8. In the Planned Work section, associate the Maintenance Plans. It is not possible to add two identical maintenance plans to a work order;
  9. Fill in the remaining fields;
  10. Click Save and New.

When creating the work order, the first person responsible for the workshop is suggested as the person Responsible. The same happens if the workshop is changed.

When creating a WO, it is also possible to change the asset type, depending on the origin of the WO:

  • Individually created WO: it is permitted to change the asset when creating or editing;
  • WO created from a related WO: it is permitted to change the asset;
  • WO created from a request: it is permitted to change the asset when creating the WO and the asset of the request is updated. When editing, it is permitted to change the asset and update the asset of all associated requests;
  • WO created from a Preventive event or with a Route type asset: it is not permitted to change the asset when editing.

Note: if the WO has records in Assignments, Meter Readings, Monitoring Values, Failures, Downtime, Task Verifications, Labor, Consumptions, or Miscellaneous Costs, it is not possible to change the asset.

Edit WO

When editing a WO, the following aspects must be taken into account:

  • If the WO is in a Locked for Changes state, no attributes can be changed, except for:
    • State;
    • Remarks (only if the Allow changing remarks option is enabled in the states configuration).
      Note: states are changed in the WO view interface, not in the edit interface.
  • To automatically close a WO that has been in a state prior to the final state for more than X days, you must follow these steps:
    1. Go to Settings | Work | Background Services;
    2. Enable the Enable Closing Work Orders option.
The state change is performed in the work order view interface and not on the work order  editing interface.
To automatically close a work order, if it is in a state previous to the final state for over X days, it is necessary to access the option  "Settings | Work | Background Services", activate the option "Enable Closing Work Orders" and define the  number of days in "Close Work Orders After (days)".
