Valuekeep Planner allows maintenance managers and administrators to plan their technicians' work using various calendar views.
Roles
- Administrator: can view all work orders, preventive maintenance events, and assign a work order to any technician;
- Maintenance manager: can only view work orders created by himself/herself and those from the work center for which he/she is responsible.
Structure
The Planner is organized into two sections:
- Filters: filters to apply to the data that will appear in the calendar views;
- Calendar: This section can be divided into five views, with the default view being the Work Week view. The available views are:
- Day:
- Displays assigned work orders, unassigned work orders, and preventive maintenance events for the selected day;
- Start of the day: 6:00;
- End of the day: 20:00;
- 30-minute intervals.
- Work Week:
- Displays assigned work orders, unassigned work orders, and preventive maintenance events for the selected work week;
- Start of the day: 6:00;
- End of the day: 20:00;
- 30-minute intervals.
- Week:
- Displays assigned work orders, unassigned work orders, and preventive maintenance events for the selected week.
- Start of the day: 6:00;
- End of the day: 20:00;
- 30-minute intervals.
- Month:
- Displays assigned work orders, unassigned work orders, and preventive maintenance events for the selected month.
- Schedule:
- Displays work orders by technician.
Operations
Several operations can be performed directly in the Planner:
Assign work orders
There are two ways to assign work orders to employees:
- Drag and drop:
- On the Schedule tab, drag the WO to the desired technician;
- It is possible to assign the WO to several technicians, but not simultaneously. The assignment must be made technician by technician.
- Through the context menu:
- Right-click on the desired work order, then select the Assign option;
- Select the employees to assign and click Save.
Remove assignments
It is possible to remove the assignment of a work order. There are two ways to do so:
- Drag and drop:
- In the Schedule tab, drag the WO to the Unassigned section. Or click on the WO number to view its details, then click on the Unassign icon
.
- Through the context menu:
- Right-click on the desired work order and then select the Assignment option;
- Remove the assignments.
Note: Unassigned work orders are displayed in gray and assigned work orders are displayed in blue.
View work order information
You can view the information for a work order by clicking on it. A pop-up window will appear with the following information:
- Expected date;
- Asset;
- Status;
- Priority;
- Responsible.
Create work orders
To create work orders, the following steps must be followed:
- Right-click on the desired date/time;
- Select the Create Work Order option;
- Fill in the fields on the panel displayed;
- Click on Save.
Note: you can quickly navigate to the current day by right-clicking on the desired date/time and then selecting the Go to today option.
Edit work orders
To edit work orders, the following steps must be followed:
- Right-click on the desired work order;
- Select the Edit Work Order option;
- Click on the desired operation:
- Edit: to make the desired changes to the work order;
- Delete: to delete the work order, by selecting the trash can icon;
- Attachments: to edit or add attachments to the work order;
- Copy to New: to clone the record with a new key.
Create WO from preventive event
To create work orders through a preventive maintenance event, the following steps must be followed:
- Right-click on the desired preventive maintenance;
- Select the Create Work Order option;
- The fields in the panel will be filled in automatically, but you can edit the information displayed;
- Click Save.
Disable preventive maintenance event
To disable a preventive maintenance event, you must follow these steps:
- Right-click on the desired preventive maintenance;
- Select the Edit Preventive Maintenance Event option;
- In the panel displayed, uncheck the Active option.
Note: only 200 records are displayed in each view.
