How to issue due date reminders?

The due date reminders have the goal of issuing documents to warn the entities with open items or that have exceeded the due date. In the ERP, it is possible to issue this document types, as well as view the documents' due date of the different entities. If necessary, it is still possible to exclude clients from a due date reminder.

View balances and due date warnings

This option has the goal of facilitating the consultation of due dates for different entities' documents, as well as issue the corresponding due date warnings.

The due date warnings are handled differently in three types of warnings:

  • The text of Warning 1 warns about the overdue documents in the last days and in the following days;
  • The text of Warning 2 warns about the observed delay in the payment of overdue documents;
  • The text of Warning 3 gives an “ultimatum” to the clients regarding the unsettled documents.

To view the due date, follow these steps:

  1. Access [Marketing & Sales / Purchases / Finance] | Payments and Receivables | Balances / Due Date Reminders.
  2. Define the Entity type;
  3. Insert the Entity. By default, all documents/entities are considered for the selected type (optional);
  4. Specify if you wish to include the associated entities (optional);
  5. Specify the Reference Date.By default the current date is used;
  6. Fill in the following details: Section, Project, Salespersonand Currency (optional);
  7. Specify the Document Account and State. By default, all documents are considered;
  8. Specify the Periods after due date to group the documents by brackets;
  9. Specify the period Analysis Date;
  10. Specify the Warning Type to define the warning content to be issued:
    - Automatic: Issues the following warning for each open item and increases the numerator;
    - Issue: Issues the selected warning number and increases the numerator;
    - Reissue: Reissues only the open items whose warning number is the selected number;
    - Reprint: Reissues the selected warning for all open items whose warning number is equal or higher than the selected warning.
  11. Specify if you wish to Ignore minimum Value to allow to show all entities, regardless of the open amount (optional);
  12. Specify the Minimum Value. Only the entities whose total value is higher than the specified value are presented. The value can be positive or negative;
  13. Select the options Exclude Entities that do not Receive Warnings and Exclude docs. with unissued 1st reminder (optional);
  14. Finally, click Save.

Issue due date warnings

The due date reminders have the goal of issuing documents to warn the entities with open items or that have exceeded the due date. This is also a quick way of viewing the open items total for the different entities.

To issue a due date warning, follow these steps:

  1. Access [Marketing & Sales / Purchases / Finance] | Payments and Receivables | Balances / Due Date Reminders;
  2. In the Entities tab, select the entities you wish to issue the warning to;
  3. In the Due Date Reminders tab, select the issue mode: Automatic or Three warning types;
  4. Click Print.

If the first copy of the due date reminder has already been issued, the following reissues will be identified as 2nd and 3rd copies, respectively, and will have a content progressively more serious.

Exclude customers

To exclude a customer from a due date reminder, follow these steps:

  1. Access Marketing & Sales | Sales | Customers;
  2. Create or edit a customer;
  3. In the Credit tab, activate the option Exclude from due date reminders;
  4. Click Save.
