{"id":150147,"date":"2024-08-29T14:26:07","date_gmt":"2024-08-29T14:26:07","guid":{"rendered":"https:\/\/helpcenter.ila.cegid.com\/valuekeep\/\/"},"modified":"2026-02-25T09:50:00","modified_gmt":"2026-02-25T09:50:00","slug":"how-to-create-a-work-order","status":"publish","type":"valuekeep","link":"https:\/\/helpcenter.ila.cegid.com\/en\/valuekeep\/work-3\/work-management-work-3\/article\/how-to-create-a-work-order","title":{"rendered":"How to create a work order?"},"content":{"rendered":"<section class=\"av_textblock_section \"  itemscope=\"itemscope\" itemtype=\"https:\/\/schema.org\/CreativeWork\" ><div class='avia_textblock  '   itemprop=\"text\" ><div>\n<p>The Work Order (WO) represents the maintenance work to be performed and is associated with an asset, location, or route.<\/p>\n<\/div>\n<div><\/div>\n<\/div><\/section>\n<section class=\"av_textblock_section \"  itemscope=\"itemscope\" itemtype=\"https:\/\/schema.org\/CreativeWork\" ><div class='avia_textblock  '   itemprop=\"text\" ><div>\n<div>\n<h2>Create WO<\/h2>\n<p>To create a work order, follow these steps:<\/p>\n<ol>\n<li>Go to <strong>Work | Work Orders<\/strong>;<\/li>\n<li>The <strong>list of work orders<\/strong> will be displayed;<\/li>\n<li>Click on <strong>Create;<\/strong><\/li>\n<li>Select the <strong>asset type<\/strong>;<\/li>\n<li>Fill in the <strong>specific asset<\/strong> (equipment, tool, location, or route).<br \/>\n<strong>Note<\/strong>: if the selected asset type is a <strong>route<\/strong>, only routes that contain at least one <strong>asset<\/strong> will be available, and the employee can only select routes for which they have <strong>access to all assets<\/strong>, as defined in the <strong>access level<\/strong>;<\/li>\n<li>If the selected asset has the <strong>Supplier<\/strong> and\/or <strong>Customer<\/strong> fields filled in, this information will be <strong>automatically filled in<\/strong> on the work order. However, <strong>you can change it<\/strong>;<\/li>\n<li>In the <strong>Scheduling<\/strong> section, the <strong>SLA Start Date<\/strong> field is automatically filled in when the work order first enters a status configured as <strong>SLA Start<\/strong>. The <strong>SLA End Date<\/strong> field is automatically filled in when the work order enters a status configured as <strong>SLA End<\/strong>. If the WO passes through the <strong>SLA End <\/strong>status more than once, the end date corresponds to the last time it passed through that status.<\/li>\n<li>In the <strong>Planned Work <\/strong>section, associate the <strong>Maintenance Plans<\/strong>. It is not possible to add <strong>two identical maintenance plans<\/strong> to a work order;<\/li>\n<li>Fill in the remaining fields;<\/li>\n<li>Click <strong>Save and New<\/strong>.<\/li>\n<\/ol>\n<p>When creating the work order, the first <strong>person responsible for the workshop<\/strong> is suggested as the person<strong> Responsible<\/strong>. The same happens if the workshop is changed.<\/p>\n<p>When creating a WO, it is also possible to change the asset type, depending on the origin of the WO:<\/p>\n<ul>\n<li><strong>Individually created WO<\/strong>: it is permitted to change the asset when creating or editing;<\/li>\n<li><strong>WO created from a related WO<\/strong>: it is permitted to change the asset;<\/li>\n<\/ul>\n<ul>\n<li><strong>WO created from a request<\/strong>: it is permitted to change the asset when creating the WO and the asset of the request is updated. When editing, it is permitted to change the asset and update the asset of all associated requests;<\/li>\n<li><strong>WO created from a Preventive event or with a Route type asset<\/strong>: it is not permitted to change the asset when editing.<\/li>\n<\/ul>\n<p><strong>Note<\/strong>: if the WO has records in <strong>Assignments<\/strong>, <strong>Meter Readings<\/strong>, <strong>Monitoring Values<\/strong>, <strong>Failures<\/strong>, <strong>Downtime<\/strong>, <strong>Task Verifications<\/strong>, <strong>Labor<\/strong>, <strong>Consumptions<\/strong>, or <strong>Miscellaneous<\/strong> <strong>Costs<\/strong>, it is not possible to change the asset.<\/p>\n<\/div>\n<\/div>\n<div><\/div>\n<\/div><\/section>\n<section class=\"av_textblock_section \"  itemscope=\"itemscope\" itemtype=\"https:\/\/schema.org\/CreativeWork\" ><div class='avia_textblock  '   itemprop=\"text\" ><div>\n<div>\n<h2>Edit WO<\/h2>\n<p>When editing a WO, the following aspects must be taken into account:<\/p>\n<ul>\n<li>If the WO is in a <strong>Locked for Changes<\/strong> state, <strong>no attributes can be changed<\/strong>, except for:\n<ul>\n<li><strong>State<\/strong>;<\/li>\n<li><strong>Remarks<\/strong>\u00a0(only if the <strong>Allow changing remarks<\/strong> option is enabled in the states configuration).<br \/>\n<strong>Note<\/strong>: states are changed in the <strong>WO view interface<\/strong>, not in the edit interface.<\/li>\n<\/ul>\n<\/li>\n<li>To <strong>automatically close a WO<\/strong> that has been in a state prior to the final state for more than X days, you must follow these steps:\n<ol>\n<li>Go to <strong>Settings | Work | Background Services<\/strong>;<\/li>\n<li>Enable the <strong>Enable Closing Work Orders <\/strong>option.<\/li>\n<\/ol>\n<\/li>\n<\/ul>\n<\/div>\n<\/div>\n<div><\/div>\n<\/div><\/section>\n","protected":false},"excerpt":{"rendered":"","protected":false},"author":3515,"featured_media":0,"comment_status":"open","ping_status":"open","template":"","tags":[8116],"mercados":[431,432],"categorias-valuekeep":[8118],"class_list":["post-150147","valuekeep","type-valuekeep","status-publish","hentry","tag-work-orders","mercados-pt","mercados-es","categorias-valuekeep-work-management-work-3"],"_links":{"self":[{"href":"https:\/\/helpcenter.ila.cegid.com\/en\/wp-json\/wp\/v2\/valuekeep\/150147","targetHints":{"allow":["GET"]}}],"collection":[{"href":"https:\/\/helpcenter.ila.cegid.com\/en\/wp-json\/wp\/v2\/valuekeep"}],"about":[{"href":"https:\/\/helpcenter.ila.cegid.com\/en\/wp-json\/wp\/v2\/types\/valuekeep"}],"author":[{"embeddable":true,"href":"https:\/\/helpcenter.ila.cegid.com\/en\/wp-json\/wp\/v2\/users\/3515"}],"replies":[{"embeddable":true,"href":"https:\/\/helpcenter.ila.cegid.com\/en\/wp-json\/wp\/v2\/comments?post=150147"}],"version-history":[{"count":0,"href":"https:\/\/helpcenter.ila.cegid.com\/en\/wp-json\/wp\/v2\/valuekeep\/150147\/revisions"}],"wp:attachment":[{"href":"https:\/\/helpcenter.ila.cegid.com\/en\/wp-json\/wp\/v2\/media?parent=150147"}],"wp:term":[{"taxonomy":"post_tag","embeddable":true,"href":"https:\/\/helpcenter.ila.cegid.com\/en\/wp-json\/wp\/v2\/tags?post=150147"},{"taxonomy":"mercados","embeddable":true,"href":"https:\/\/helpcenter.ila.cegid.com\/en\/wp-json\/wp\/v2\/mercados?post=150147"},{"taxonomy":"categorias-valuekeep","embeddable":true,"href":"https:\/\/helpcenter.ila.cegid.com\/en\/wp-json\/wp\/v2\/categorias-valuekeep?post=150147"}],"curies":[{"name":"wp","href":"https:\/\/api.w.org\/{rel}","templated":true}]}}
