On the sales opportunities, it is possible to create activities to control collections, warnings or proposals for an organization. In this sense, it is possible to create activities and activity warnings, that will warn the open collection operator, as well as define the notification templates.
At any moment, it is possible to analyze the work schedule in a specific period.
Create activities
A set of operations is available that allow to schedule operations to later present on the date and hour established, and they are actions such as collections, warnings or proposals. The schedules activities can also be associated to phone contacts, collections, emails, letters, etc.
To define an activity, it is necessary to insert the necessary information, and it is possible to later include new data.
It is possible to create activities on the Contacts and Opportunities menu or from the Customer, Suppliers and items list, as well as create periodic activities. For this, follow these steps:
Create activities

Access Marketing & Sales | Contacts and Opportunities | Activities or from the menu of the CRM available in the several Entities/Editors (ex. Customer File);

Define the Activity Type to para control a few activity characteristics;

Define the activity summary;

Define the Main Contact, for example, the entity type (ex.:"customer"), the entity specification (ex.: company "Sofrio, Lda") and the main contact of the selected entity (ex.: "Mr. José Sofrio");
Note: If the Activity type has a Contact type associated, the system suggests the contact automatically. For example, the activity type Phone Call has associated, on the file Activity Type, a type of Management Contact. If there is a contact of that type on the Customer file;

Specify the activity Priority level, and specify its priority;

Specify the State it's on: Awaiting execution or already Executed;

Define if you wish to integrate with the email system;
Note: The option Includes Main Contact defines if the email notification includes the contact set as "Main". The option Includes Main Contact defines if the email notification includes the contact set as Other Contacts;

Fill in the necessary data in the several tabs (see table below);

Finally, click Save.

using the CRM menu, available on the different editors or entity files, you can create/view associated activities to the selected Entity.
To make filling in the activity description easier, you can define a set of descriptions, using for it the field Description. On the menu bar, the option Lists allows to view the list of execution Pending Activities. The list can be viewed quickly and automatically using the short key F4.
Create activities from the entity files
- Access Marketing and Sales | Sales | Customers or Purchases | Purchases | Suppliers or [Marketing & Sales /Purchases] | Inventory | Items;
- ClickF4 to get the customer list;
- On the grid, on the customer row for which you intend to create one or more activities, right click and select the option Create Activities;
- Check if the Activity Creation window is presented;
- On the wizard, specify if you wish to create an activity for each entity or a common activity for all entities;
- Define the mapping between the data on the list and the activity, that is, specify if the column "Customer" of the list on the activity must be considered as the entity or the activity recipient being created;
- If the entity option is selected, specify the Entity Type (e.g.: Other Debtor) and the Type of Contact (e.g.: Commercial contact or Technical);
- Click Next;
- In this step, define the activity properties:
- Type of activity to be executed;
- Description of the activity to be executed;
- Priority it possesses;
- State it is on;
- Entity the activity is directed to (in that case, specification of the customer company);
- Campaign (if the activity is associated to a Marketing campaign);
- Integrate with Outlook to define if you wish to integrate with Outlook (active if the type of activity is Email Sending);
- Click Next;
- Specify, besides the recipients, the activity periodicity properties (Start, End, With or Without Periodicity and corresponding definitions);
- On the next step, a summary of all definitions performed previously is presented to confirm the performed operation. The rules defined can be used again when the same list is used to create activities, for that, simply select the corresponding option;
- Click Next to proceed to the creation of the activity.
The activity created can later be viewed in Contacts and Opportunities, on the option Scheduled Activities or on the option Activities of the Day.
Create periodic activities
- Access Marketing & Sales | Contacts and Opportunities | Activities;
- Create a new activity;
- Select the option With periodicity;
- Click the option Periodicity;
- Specify the activity duration. This value will be used to update the activity end date;
- Define the Periodicity. These values will be used to integrate with Outlook;
- Specify the activity validity;
- Finally, click Save.
On the menu bar, the option Lists allows to view the list of execution Pending Activities. The list can be viewed quickly and automatically using the short key F4.
Create activity warnings
The activity warnings are applied only in collection activities and can warn the pending collection task operator.
To create an activity warning, follow these steps:
- Create an activity of the collection type;
- Create a new activity;
- Specify the entities that will be collected;
- Click Save;
- Specify the activity and the type of priority;
- Specify the activity summary;
- Finally, click Confirm.
Set up notification templates
The notifications use a HTML or HTM file as a template. It is possible to set up this template using the following tags:

These tags must necessarily use lower case.
See daily activities
To facilitate the consultation of the work daily schedule, the module Contacts and Opportunities offers a tool that allows to view, graphically, all daily activities. This option is available in Marketing & Sales | Contacts and Opportunities | Activities | Activities of the Day.
Among the features, we highlight:
- New Activity: Create new activity;
- Edit Activity: Edit an activity previously created;
- Remove: Eliminate an activity;
- Day/Week/Month: Display activities by day, week and month;
- Filter: Filters activities by:
- Activity type;
- Entity's name;
- Contact name;
- Priority;
- Activity's state;
- Start and End Date.
To check for related activities, after selecting an activity, on the lower part of the window, click on the option Related Activities. On the component, information on the entities associated to the activity is also presented, such as customer current account balances.
See scheduled activities
This exploration has the purpose of viewing the scheduled activities for a specific period.
To view the scheduled activities, follow these steps:
- Access Marketing & Sales | Contacts and Opportunities | Activities | Scheduled Activities;
- Specify the consultation Period. By default, all records are included;
Note: It is possible to specify the type of dates to be viewed, as well as apply a filter on a date interval. The option By end date allows to filter the activity end date (for example, allows to know which activities are expected to end this week);
- Define the Priority. By default, all priorities are included;
- Insert the Activity. By default, all activities are included;
- Specify theSchedule. By default, all scheduled activities are included;
- Finally, click Update.
On the tab Other Restrictions, you can apply filters to restrict the presented data. The results grid presents the information according to the criteria and restrictions set.
The issuing of the analysis contains the information displayed on the results grid. To print this information to the available standard formats, you should use the context option Export.
